Searching, Sorting and Filtering

Communications Control contains search and sort tools you can use to quickly find existing templates and assets. Filters applied to templates/assets remain active when returning from preview or edit mode, saving time and avoiding repeated input.

Searching for Existing Templates and Assets

You can search for existing templates. Display the list of existing templates or assets by clicking the Templates icon on the left side of the page. Then click the Templates or Assets link on the left side of the page.

Click the Search icon in the upper-right corner to display a Search field. Then type what you want to search for. The search results display in real time.

Column Sorting

You can sort the Template Name, Last update by, Last Modified and Assigned to columns in the Library in ascending or descending order by clicking the arrow at the top of these columns.

Communications Control sorts columns in ascending order by default. Click the arrow to sort the column in descending order. Click it again to change to ascending order.

Status Filters

The Status filter option has been added to help you quickly locate templates based on their workflow stage. You can now filter templates by selecting one or more of the following statuses:

  • Draft

  • In Review

  • Returned

  • Approved

How It Works

  • Clicking on a status applies the filter and updates the list view to show only templates with that status.

  • Clicking the same status again removes it from the filter.

  • Multiple statuses can be selected at the same time, allowing you to see a combined list.

  • If you apply both a status filter and a search term, the search will run only within the filtered results.

  • To search across the full list, clear all applied filters first.

Note

 Returned status indicates that a reviewer has sent a template back for updates. The system marks the template as Returned, displays a Returned tag and red triangle icon, and moves it to the Draft stage for revision.

Filter Templates by Channel

The Filter Templates by Channel feature helps you quickly narrow the templates list to a specific communication channel such as Email, SMS, MMS, or RCS, directly from the Templates view.

  • Click the Channels filter at the top of the templates list.

  • Choose one or more channels to apply the filter:

    • Email

    • SMS

    • MMS

    • RCS

  • The templates list updates dynamically.

  • Only templates created for or associated with the selected channel are displayed. All other templates are temporarily hidden from view.

  • To switch, add or remove channels, select a different option from the Channels filter.

  • To return to the full list, clear the channel selection from the channel filter.

Assigned to

The Enhanced Reviewer Management feature adds a dedicated Assigned To column that displays the name of the reviewer to whom the template is assigned. It introduces a cleaner, more efficient approach to handling reviewer assignments. It provides a convenient option to reassign templates directly from the three-dot menu. These enhancements streamline approval workflows and give reviewers and client admins greater control.  

Note

 A template can be assigned to a reviewer and an admin (CSG/Client) or a channel admin. However, the Reviewer Widget showing the number of templates pending review is visible only to the reviewer assigned to that template.

  • Navigate to Templates in the left panel of the XCC Studio landing page to view the list of templates.

  • Locate the Assigned To column in the template list. This column displays the name of the reviewer assigned to each template.

  • Click the three‑dot menu on the right side of the corresponding template row to open the available actions for that template.

  • From the three‑dot menu, select Reassign to assign the template to a different reviewer or admin.

  • A confirmation modal will appear prompting you to choose a new reviewer.

  • The modal displays a message.

    For example: Reassign Reassign230126 Version: 1 for review?

  • Pick the new reviewer from the dropdown list.

  • Click Yes to confirm the reassignment, or click No to close the dialog box without making changes.

  • If you pick the new reviewer and choose Yes, a toast message appears confirming the reassignment.

    For example: “Reassign230126 RCS 1 reassigned successfully.”

  • The Assigned To column updates immediately to reflect the new reviewer’s initials. The full username becomes visible when you hover over the reviewer’s initials.

Template Thumbnails on Hover

This feature allows users to quickly preview Email, SMS, MMS or RCS templates from the list view without opening them and perform key actions, improving efficiency during editing and QA.

  • Go to Studio > Templates to access the template list.

  • In the Status/Version column, hover over a template draft/version (Email, SMS, MMS or RCS).

  • A thumbnail preview of the template appears in a pop-up for quick identification.

  • For a template in Draft status, the hover pop-up allows you to-

    • Click the Preview (eye) icon to open the template in full-screen mode.

    • Click the Delete icon to remove the template version.

Note

 The delete icon is visible only for templates in Draft status, because templates that are Approved cannot be deleted.

  • For templates in Approved status, the hover pop-up lets you-

    • Click the Preview (eye) icon to view the template in full-screen.

    • Click the Create New Version (+) icon to create a new version.

Note

 The Create New Version icon appears only for templates that are Approved.
