To support growing team structures and enable scalable administration, Xponent Communications Control (XCC) now includes role-based access controls that empower organizations to manage their own users and permissions independently.

This functionality introduces two administrative roles Client Admin and CSG Admin that allow organizations to efficiently manage their internal teams without relying on CSG support. With this enhancement, clients can invite users, assign them to specific communication channels, and enable them to begin working immediately.

The Client Admin role allows users to manage team members, assign permissions, and control access to documents like templates and assets. This includes view, edit, comment, and delete capabilities. CSG Admins, on the other hand, have similar permissions but across multiple client organizations, making it easier for CSG users to oversee various accounts.

Inviting Users and Assigning Roles

  1. To invite users and provide them appropriate access, navigate to the Admin Dashboard from the left-hand side menu. Once the dashboard opens, click the ”+” icon to begin the invitation process.

  2. Select the communication channels (Email, SMS, MMS), and assign an appropriate role. Start by entering a valid email address in the User Email field (For Example: name@example.com).

  3. Assign the required communication channel access Email, SMS, or MMS. Channel access is mandatory to proceed with role assignment. Once a channel is selected, the Role dropdown becomes active, allowing you to choose a role for the user. Only after selecting both a channel and a role the Send Invitation button become active.

  4. Users can be assigned multiple roles based on their responsibilities, with a few exceptions:

    • Selecting the Admin role disables other role options, as it includes full access.

    • If Viewer is selected along with any other role, the Viewer role will automatically be disabled, as its permissions are already included in roles like Editor, Reviewer, and Activator.

    • A user can either be assigned Viewer, Admin, or any combination of Editor, Reviewer, and Activator roles but not both Viewer and the others simultaneously.

  5. To invite multiple users, click on the + Add User button. This will generate a new entry field below the current one for the next user.

  6. Once access and roles are configured, click Send Invitation. An invitation email will be sent to the user, allowing them to access the platform with the assigned permissions.

User Roles and Their Access

  • Client Admin

    • Manage users and teams within a client organization.

    • Assign roles and communication channel access (Email, SMS, MMS).

    • Full permissions on templates and assets: view, edit, comment, delete.

    • Cannot be assigned with any other role this is the highest level of access within a client org.

  • CSG Admin

    • Manage multiple client organizations.

    • Same privileges as Client Admin, but across all clients.

    • Used primarily by internal CSG support/admin teams.

  • Editor (Contributor)

    • Create, edit, comment, and delete documents (templates and assets).

    • Access is limited to what the Client Admin assigns at the document level.

  • Reviewer

    • View and comment on templates and assets.

    • Can approve templates or assets when required.

  • Activator

    • Cannot edit content.

    • Can move approved templates to Active status, making them live.

  • Viewer

    • Read-only access.

    • Can view templates and comments but cannot edit, comment, approve, or activate.

This enhancement improves customer experience by enabling self-service administration, reduces response time during urgent updates, and positions XCC as a more competitive SaaS platform. For CSG, it reduces operational overhead by minimizing the need to manually manage client accounts, leading to greater efficiency and potential cost savings.
