User Management

Client Admins can invite new users into their organization’s environment. This process involves entering essential information such as the user’s name, email address, title, channel access, and role, followed by assigning communication channel permissions. Once completed, the system automatically provisions the account and sends an invitation email to the new user, enabling seamless onboarding. This functionality directly benefits client administrators by reducing operational overhead, providing transparency in user access, and accelerating the availability of resources for unified communications.

To manage user accounts, Client Admins must first navigate to the User Management section of the platform. From the left-hand side menu bar, click on Communication Management, and then select User Management.

The User Management page is the central location for administering all user-related actions within Xponent Communication Control. From this page, a client admin can perform the following tasks:

Quick Counters And Filters

At the top of the User Management page, quick counters provide administrators with immediate insight into the state of their user base. These counters display key statistics, includes:

All Users

The All Users category represents the complete set of accounts within the organization. Administrators can review every user that has been provisioned, regardless of their current status. Within this category, several sub-indicators provide additional detail:

  • Last Seen (60 days) - Displays the total number of accounts that have logged into the platform within the most recent 60-day period. This metric helps Client Admins monitor active engagement levels across their organization.

  • Inactive Accounts - Shows users whose accounts have been deactivated by the administrator. These users cannot log in until their account is reactivated.

  • Missing Information - Identifies incomplete accounts. For Example: missing a team assignment, role, or contact details. Administrators can use this view to correct gaps in account records.

Locked Accounts

The Locked Accounts category captures users accounts who have been temporarily locked from accessing the platform automatically by the system. Accounts may become locked under the following conditions:

  • Multiple Failed Login Attempts - To protect against unauthorized access, the system automatically locks accounts after repeated failed login attempts.

  • Prolonged Inactivity - Accounts that have remained dormant for extended periods will be locked automatically as part of security and compliance practices. These accounts can be reactivated by the administrator if needed.

Pending Invitations

The Pending Invitations counter shows the number of user accounts where invitations have been sent but not yet accepted. It helps Client Admins track onboarding progress and follow up with users who have not activated their accounts.

Role Filter

In addition to counters, administrators can refine the displayed list of users by applying filters. Filters can be applied based on the role assigned. This ensures that administrators can quickly locate specific groups of users, such as Editors, Viewers, Reviewers, Activators, and Admins. Also, multiple filters can be selected together.

Search Filter

The Search filter allows administrators to find specific users by typing keywords such as the user’s name or status. The search filter is located at the top of the user list, and as soon as a search term is entered, the system dynamically updates the list to display only the matching accounts.

This filter is ideal when the administrator knows exactly which user they want to view or needs to quickly locate a subset of accounts without browsing through multiple pages. For Example: Typing Pending instantly filters the list to display only pending users.

Sorting Filter

This combination of filtering and sorting ensures that administrators can efficiently manage user accounts, whether they need to search for a single individual, review users by status, or organize accounts alphabetically.

  • Ascending order: First click sorts the list in ascending order (A–Z) and displays an upward arrow.

  • Descending order: Second click sorts the list in descending order (Z–A) and displays a downward arrow.

  • Recent Changes: Third click removes sorting and returns the list to its default order, where users are displayed according to the most recent changes.

This filter helps administrators quickly arrange the list for easier browsing, particularly when managing large user sets. For Example: Sorting by ascending order places all names alphabetically from Adam to Zoe, while descending reverses the order.

Invite User

The Invite User feature allows Client Admins to onboard new members by creating an account, assigning them to a team and role, and completing the required information before sending an invitation.
